eChart Authorized Sponsors (AS) and Authorized Account Requestors (AAR) receive an eChart Manitoba Site and User Management Report each month.

This report provides a summary of all active eChart accounts and details on user access activity for their site. If you are an Authorized Sponsor (AS) or Authorized Account Requestor (AAR), please ensure you review this report on a regular basis. Your ongoing review is essential to:

  • Fulfilling our statutory obligations under The Personal Health Information Act (PHIA)
  • Ensuring the accuracy, appropriateness, and security of eChart access

Failure to complete these audits in a timely and thorough manner may result in privacy breaches.

Responsibilities of the AS and AAR

  • Identify and disable accounts for users who are on leave, terms in other departments, or no longer employed with SH-SS.
  • Monitor user access and ensure appropriate usage.
  • Pay particular attention to the Inactive User Percentage for your program, as highlighted in the statistical summary section- see image below. This metric helps determine whether users are actively utilizing their eChart access. A high percentage of inactive users may indicate a need to reassess whether continued access is required.

If there are changes to an existing user’s account or access level, note this directly within the report. (e.g. user no longer at site; disable as employee on LOA/Mat Leave) and submit to [email protected]
