It is imperative that all staff working within clinical units equipped with Pyxis have User Access in advance of scheduled shifts.

This is essential to ensure access to medications for delivery of safe patient care. Directors / managers, submit requests for Active Directory (NTDWRHA) accounts at time of onboarding for staff responsible for medication administration. An active directory account is required for Pyxis access to be granted. In emergency / urgent situations only, contingency processes are in place for temporary Pyxis access (i.e. unexpected float, digital health delays). Local user accounts are deleted following scheduled shift(s) in accordance with Provincial ADC Governance policy.

Provisioning

A job aid, PPT / Video tutorial is available to provide guidance on the process for provisioning. Provincial policies and SH-SS Regional Job aids have been created to support this process. All leadership team members who support Admin On-call can support granting Pyxis access to nurses. See the SH-SS Provisioning Job Aid for a complete list of Authorized SHSS Administrators.

Facility Managers : can provision any role for all SH-SS Pyxis locations, delete accounts and tailor settings. This is reserved for site / regional nursing Pyxis leads, facility directors and CNO. Pharmacy managers also hold this role.

Nurse patient manager/super/travel : includes all CSM, nursing supervisors and admin on-call. Can provision nurses, UNE, students, Nurse restricted and local users only (temporary) for all SH-SS Pyxis locations. Cannot provision pharmacy team members or physicians.
Facility managers are responsible to ensure that all site administrator access is maintained upon hire and terminated upon resignation. Monthly Audits are completed by CSMs to ensure that any inactive / expired local users are deleted. Site facility nursing Pyxis leads will provide routine reminders. Program CSMs are responsible to ensure that all staff scheduled for their unit are provisioned in advance and accounts are removed upon termination/resignation of unit staff. In the event of after hours access requirements, nursing supervisors may be contacted to support granting access, with escalation to On-call Admin thereafter.

Please note that Provincial policies and accompanying job aids are posted in DRAFT as endorsed by the Provincial ADC Governance Committee at this time and will be updated upon final Provincial approval. As Pyxis is implemented at each site, site Pyxis leads will support ongoing evaluation. Feedback will be integrated into ongoing refinement of ADC processes and communicated to the Provincial Governance Committee as needed.

We as the ADC working group are excited to expand Pyxis to our region and look forward to the added medication administration safety features that this technology brings. We anticipate this change to come with many lessons learned and appreciate your support and feedback!
