In April 2013 a Black Belt Lean Project was initiated at the regional centres to focus on improvement opportunities within Registration related to data entry standards which was increasing the number of duplicate clients created.
The team’s focus was to implement a process to ensure compliance with provincial Client Registry Best Practices for data entry of client demographics and to reduce the creation of duplicates which impacts availability of client information within eChart. To achieve this, the team realized they needed to standardize and enhance the hiring and orientation process which was the root cause of many errors. Also, working small FTEs created challenges for staff to maintain the required skill set and rotations at the regional centres were revised.
Fundamental changes were implemented with regional orientation checklists/requirements and new rotations with increased FTEs. Standard work processes are used and regular data entry auditing is in place to allow sites to identify error types and provide refresher education accordingly.
